[Campus-purdue-staff] Fwd: hosting an "Introduction to Open Source" event at Purdue in September

I've updated the email list and done some more emailing -- I've found what I think are the active emails for the "Women In *" groups and I'm going to track down the other diversity/underrepresented groups. The Facebook ref is from a post I made on a page for CS students. Since we have another CSWN board meeting tomorrow, I'll follow up on the other lists. 

As well, we'll formally make an event announcement (and flyers for the campus) through the Purdue student org channels and that should get us a bit more visibility outside of the groups that we already know how to contact. 

Map/directions still in the works, along with checking off tech capabilities.

So far we have eight sign-ups for the event (although I think we should invite one to be a mentor instead of an attendee, so really we have seven sign ups). That's not bad, but we should definitely do more publicity. Where exactly have you advertised, Lauren? I see CSWN members and Purdue Linux Users google group on the publicity spreadsheet, but some of the sign ups mention hearing via Facebook? 

I'll do a bunch of science and engineering emails next week when I'm back from vacation, if no one else gets to them before then.

Your plan sounds fine to me - we can provide snacks at the beginning of the day instead of the end, and run from 12:30 to, say, 7? 

I'd suggest a schedule of: 

12:30 - 2:30 - tutorials 
2:30 - 4:30 - patch workshop 
4:30 - 5:00 - career panel 
5:00 - 6:30 - dinner and socializing, with optional continuing to submit patches

If not, we can go ahead and begin our publicity. I've added you, Lauren, to our google drive planning folder. Specifically, there's a "publicity spreadsheet" where we can keep track of the different lists we've emailed and whether our publicity has gone out on them. We encourage you to send emails to any groups you think would be interested - we find we get the best responses when local hosts send emails to groups and professors/administrators/club officers known to them. That said, we're happy to send out whatever emails you don't have the time to get to. 

If you're up for doing some of the publicity, you'll probably want to use the "computer science email template", in the folder "email templates". That's the one we use for computer science themed groups, departments, professors. We also like to send emails to science departments, as there are many wonderful open source projects in the sciences, but these are fairly customized and it's usually easier for us to take care of. Which we'll go ahead and do. :) Just let us know if there's a particular group/department/professor where you feel that your personal touch might help with turnout, and we'll show you how to customize the other, science-themed, template.

Bloomington is about 2.5 hours' drive, and Chicago a bit more depending on your ultimate destination. Late morning/early afternoon is perfect. If we got started at 11 or 12, broke for lunch, then did the rest fueled by snacks, would that work? What time do you need to be in Chicago, and what time do you need to do what you do? 

That sounds great. Why don't we plan to start at 11am, break for lunch for 12:30-1:30, and then continue on til 5? We have no deadline for getting to Chicago, beyond "not impossibly late at night" so we should be able to finish whenever. 

As for food, we usually provide a vegetarian option but are there other dietary restrictions I should plan for, or suggestions in that vein? I'm thinking sandwiches or a burrito bar for lunch, and bagels/spread or chips/pretzels plus some fruit for the afternoon. 

That sounds wonderful. Definitely make sure there's vegetarian options. We include a question about dietary restrictions in our sign up survey so we'll be able to see if there are any more restrictions over the next couple of weeks.

I made an assumption that this event would be bring-your-own-device and so requested a classroom (approval still pending) instead of a computer lab. Should I change venues for us? 

On last question, regarding titling: "Open Source Comes to Campus: Purdue"? 

Great! People should bring their own computers, so we don't need a lab. The room you requested should be fine.
