Resending:

The Dean is giving us up to $400 for food. Based on previous events I'd say
we need water, coffee (with one refills), one boxed lunch per person. I
would also have a cake, simply because I like cake. Statistically less than
50% of people eat at this kind of events, as most people do not stay all
day. We should avoid pizza since it can make a mess and we do not have
equipment for cleanup.

I'd say we submit the order one week in advance when we have a better of
idea of the number of attendees.
